Share rooms, simplify setups and technical productions, work with  freelancers, and reuse material from past events ... In these times of tight budgets, professionals have to find different ways to reduce costs. We talked to them and present here some options they suggest. Good news: you can even offer better events this way!

The main solutions quoted are:

– simplify transport, with a hotel close to public transport and the restaurant close to the hotel. The walk to the restaurant can even be animated with actors or activities,and turn out to be a fun way to discover the city!

– Share rooms: no more individual rooms, at least for internal events

– Anticrisis packs: this has been the key trend in Spain recently. Agencies package their services and offer thereby lower prices

– Take integrated venues, such as hotels, which save a lot on setup costs

– Replace videos by PowerPoint presentations. Less glamourous but so much cheaper!!!

– Use freelancers: they keep your overhead low

– Street marketing is winning these days, as a low-cost option which, if properly managed, can offer high visibility (press or word-of-mouth)

– Make your guests work! Agency Kivicom organised an event in which all guests had to participate in a cooking workshop to prepare their lunch. Fun and lower-cost than the traditional option! You can also get them to shoot a video. All you need is some AV equipment and a few animators who will guide your guests.
