Protocol is converting into a key communication tool for the company. Here are a few concrete tips to manage protocol successfully in your events.

We define protocol as the set of techniques, norms and traditions that enable us to organise efficiently and rigorously our events and ceremonies.

The application of these techniques is a basic tool for COMMUNICATION, as the correct planning of corporate events directly impacts the company IMAGE.

Protocol was, a couple of years ago, reserved to official events of state diplomacy and inter-governmental relationships. It is today much more present in all social groups and especially in the corporate sector. Most managers today start to understand the crucial importance of protocol for the company.

The concrete objective of protocol is to be one more tool for the communication actions of the company . It has turned into one more medium to foster corporate image and identity. That is why it has become so important for companies lately.

Application of protocol in event planning should be centered on thorough preparation of the program, opening and closing sessions, welcoming guests correctly, placement of guests at various tables (esp. VIPs tables,3), correct use of company logo, extreme care taken with mediums of communication, etc.

Here are a few tips to take into account when planning an event:

Presidence will be held by the top representative of the company. At his right, the guest of honour or highest authority or first guest should be placed. When leaving the presidency to a guest, the representive of the company can be seated at his right (modern theory) or left (traditional theory).

The authorities will be placed in a relevant place, be it the president, lateral from the president, or the first rows. It is important to alternate, for these positions, representives of the company with other special guests.

All guests should be greeted by the host or a high representive of the company. The highest representive of the company should welcome key personalities himself/herself.

In corporate events, the flags displayed should not be the official ones, but rather those of the company. If, due to the official rank of one guest, one of the official flags should be displayed, they should be located behind the president (slightly on the side, ideally on the right). Anyway, it is better to avoid locating official flags and the company ones on the same supports. They should be separated.

For meals and other social events, it is important to place one representive of the company at each table.

For speeches, the main host should speak first, and the guest of honour will speak last. Speeches should go from less to more in terms of protocol importance.

In case of meal, the host should offer to toast which will be responded by the guest of honour.

These are a few tips… but successful protocol that shows a good image of your company, goes far beyond this and requires careful planning with the assistance of experts.
