Security can be overlooked amidst the many other needs in planning an event. Here’s a checklist for the event security and safety of your delegates.

1. Make security an integral part of the early event planning and management process and even more so during the actual event.

2. Stay alert on the local and international news and events. They may affect your event, meeting or travel arrangements.

3. If you are having any celebrity, politician or high profile personality in your event, security issues should be considered with even more priority. Establish effective access control policies and procedures for exclusive access by authorised personnel.

4. Ensure that emergency plans are integrated into every event. Develop contingency destinations and facilities in case of changes in venues.

5. Review all event contracts for cancellations, changes, etc, to determine any impact. Review your event policies to determine specific coverage.

6. In your emergency plan, make sure it includes critical local resources, maintains accurate lists of all attendees, their hotel(s) and hotel room numbers, and their emergency contact information. Have them at hand always so that when emergency occurs, you waste no time in getting them.

7. Provide all attendees with useful security, health and cultural guidelines customised to the destination, venues and activities. You can include these information in the "welcome pack" to be given to the attendees when they arrive for your event.

8. Consider professionally licensed and operated charter aircraft companies as an alternative to commercial air travel.

9. Use only professional event security resources that have an established track record and understand your event objectives. Make sure they are competent to protect your attendees and property.

10. If a crisis or emergency occurs, leadership and communication are key. Establish a single point of contact to avoid confusing or contradictory communications. Ensure all event support staff are clear and aware of all security and emergency procedures.
